TITLE: Program Support / Registrar / Data Entry Specialist

REPORTS TO: Communications Team Leader


POSITION SUMMARY: The Program Support / Registrar / Data Entry Specialist provides administrative and program support to various ministries of the Conference. This position includes the administration and oversight of the Registrar functions of the Conference and well as updating of the Conference databases. This position reports to the Communications Team Leader.

The Program Support / Registrar / Data Entry Specialist serves the God we know in Jesus Christ through the United Church of Christ by providing an environment and a culture that embodies the 4-part vision of the Southern New England Conference to: Make disciples of Jesus Christ; Make God’s love and justice real; Bring new life as agents of change; and form covenant partnerships, especially as it relates to how colleague interactions take place. The position should be conducted in a way that reflects God’s love onto all with whom this person has contact.

  • Manages the conference database which includes lists of all clergy, lay leaders and churches affiliated with the Conference and their addresses and names, and the addresses of all officers and members of the Board of Directors
  • Enters data from source documents into computer databases. Verifies information and makes changes where necessary. May run routine reports and perform related clerical duties.
  • Gathers and enters information about churches and clergy to keep Conference and National UCC databases up to date. Publish changes on the Conference Web site using an established automated system.
  • Provides recordkeeping; maintains the database of Authorized Ministers, Local Churches, Associations, Conference Officers and Board of Directors
  • Provides support to local congregations regarding the Year End reports for the UCC Data Hub.
  • Provides support for Fitness Reviews (files and national database)
  • Coordinates Response Team trainings
  • Collaborates with administrative staff around database administration
  • Facilitates the submission of annual statistical reports by local churches to the national office; enters information needed immediately for Conference databases; assist with mass import of National data to Conference database.
  • Assists staff to generate reports from database; generate reports for local churches.
  • Provides information re: pastoral transitions for emailing.
  • Monitors email bounces and unsubscribes from bulk emailings and addresses them as needed.
  • Assists with all phases of Annual Meeting registration and related logistics. This includes depositing fees; authorizing refunds; handling Marketplace reservations; assigning rooms as needed; assisting with signage; and staffing the registration area.
  • Provides administrative assistance at all other Conference-wide meetings.
  • Assists with office-wide tasks including Web updates, bulk mailings, occasional switchboard coverage, and proofreading.
  • Performs other duties as needed.
  • High School Diploma or equivalent relevant experience
  • One to 2 years Administrative experience
  • Experience is database management
  • Good oral and written communications

SALARY: $15,000 -$21,000 depending on relevant credentials and experience.
