Executive Church Secretary
This part time position is open to self-starting and responsible person who will support the minister of the first Congregational Church of Danbury, as well as internal and external stakeholders in this community. The successful candidate will be central funnel for all communications that impact all operations in this church community.
You will not be expected to attend every service and event, but you should attend some in order to gain familiarity and in-depth knowledge of our parish community, our people and our processes.
This position pays $22 to $25 per hour, depending upon experience. You will work approximately 25 hours per week, plus occasional overtime -- especially during holiday seasons or major events. The hours are flexible, but you should expect to mostly work on Wednesdays, Thursdays and Fridays.
We offer two weeks of vacation after one year of employment.
Duties include, but are not limited to:
Internal Stakeholders

  • Maintain and update pastor's calendar and church calendars; handle communications for the pastor and with those seeking pastoral care with confidentiality.
  • Receive and act on phone calls and emails. Distribute messages as needed.
  • Recruit and track coffee hour volunteers; assure all supplies are available.
  • Recruit readers for church services and other community activities.
  • Prepare the weekly bulletin – format, proof, print and collate.
  • Support all aspects of our church services, as directed by the pastor and deacons.
  • Create and prepare mass mailings as needed.
  • Keep records of weddings, baptisms, funerals and graveside services.
    • Assure information is received from those requesting these types of services.
    • Act as go between for personnel involved in these types of services.
  • Maintain contact with the community’s caretaker, especially when repairs or other issues arise.
  • Order all and track what is needed for day-to-day operations and special events.
  • Order signage as needed, and assure current signage is up to date.
  • Act as support to volunteers in their fellowship activities.
    • Order food and for events as needed.
    • Prepare necessary documentation.
  • Support volunteer and ministry activities and committees.
  • Become knowledgeable of church building and church related activities.
External Stakeholders
  • Engage with contractors, vendors and the general public on a regular basis.
  • Book all church events -- religious as well as secular functions.
    • Engage organizers of all events to assure that they'll have everything they need for a successful event, Within the limits of contracted services.
    • Act as go between for event organizers (internal and external) and the appropriate.
  • Provide support for all organizations involved in our preservation partnership and other nonprofit entities that use the church facilities, such as the overflow homeless shelter.
