General Description:

  • The position of Office Administrator is a part-time position at 20-25 hours per week.
  • The position provides assistance to the church staff and congregation for official church business.
  • The Office Administrator is accountable to the Church Council and under the general, day to day, supervision of the Minister
The Office Administrator is responsible for performing the following specific duties and other
duties as assigned:
Receptionist Duties:
  • greet and assist the public in friendly manner – represent the church to the community
  • route phone calls, or take messages - and deliver them as soon as possible
  • check answering machine and change message as needed
  • check email frequently, forward and/or respond promptly
  • refer any information about pastoral needs - hospital, illness, crisis as soon as possible to pastoral staff - if emergency or time sensitive nature, communicate immediately
  • maintenance of confidentiality of pastoral information is essential
  • good communication to congregation & public when office is closed or public emergencies relating to the church are in order
Communication Duties:
  • process incoming mail
  • collect information for and publish the weekly Sunday bulletin  
  • collect information for and publish the Weekly Update (through Mailchimp)
  • communicate deadlines/procedures for upcoming communications/reports to various church committees
  • collect information & events to distribute to our website manager
  • maintain church Facebook page & communicate events and cross-post weekly updates and newsletter on Facebook & local Patch account
Secretarial Duties:
  • data entry of membership & new visitor information in Servant Keeper database
  • database list management, reporting, and creation of church directory
  • photocopy, send out mailings/e-mailings, assist staff and church leadership as requested
  • receive requests for weddings, memorial services, and baptisms, consult with pastors and wedding coordinator or funeral home to schedule & process payments
  • Christmas and Easter flowers – arrange payment, ordering, and pickup
  • Maintaining office supplies & church office equipment
  • Collection and distribution of the Annual Meeting report and the annual UCC statistical report
Building Use Duties:
  • maintain church calendar and arrange room requests for church and outside meetings
  • take outside building use requests and forward to Trustees board for approval
  • take outside building use requests and forward to Trustees board to work with vendors/contractors
  • order kitchen and building supplies and oversee their delivery
